Production implementation overview

SinoScan’s sales engineers liaise with the customer, perform initial investigations and assume overall management responsiblity throughout the product life cycle.

Day-to-day operational management is handled by our project engineering team. Specialized materials and processes engineering teams are tasked with pre-production and quotation work on discrete components related to their field of expertise. Component engineers report to our project engineering team who collaborate with sales engineers on final decisions.

Where protection of intellectual property rights (IPR) is a concern, SinoScan ensures that discrete product components are sourced at different suppliers and final assembly or production done at our own secure facility.

Furtermore, all customer-related information stays within SinoScan’s Western market companies and our ISO9001:2015-certified manufacturing documentation office. At our documentation office all sensitive information is removed from drawings and specifications before being released to engineers and suppliers.

As per customer requirements, SinoScan enters into legally binding agreements to adequately safeguard the customer’s intellectual property.

Component drawings are supplied by customer or done by SinoScan’s engineers and documentation department. Component part specifications in English and supplier language are prepared to ensure clarity and a sufficient level of detail with regard to technical requirements, standards and definitions throughout the supply chain.

All documentation is maintained by our Quality department in English and supplier language in accordance with our ISO9001:2015-certified quality management system.

SinoScan’s sales engineering and manufacturing engineering teams work with the customer and potential suppliers to identify the component production processes that provides optimal cost and quality performance for each specific part.

If needed, SinoScan’s engineers will advise the customer on component design as well as process selection to optimize for production cost and quality.

SinoScan has in its network more than 100 active suppliers, many of them with a history of cooperation lasting more than 20 years. Our understanding of the capabilities of each supplier within each field and our relation with them, are important assets during the quotation work. Potential suppliers of each discrete component are shortlisted during the initial investigation.

Final supplier selction is done collaboratively by SinoScan’s component engineering teams, project engineering team and sales engineers based on supplier capability, capacity, cost, and past performance.

Product drawings are supplied by customer or done by SinoScan’s engineers and documentation department. As with components, product part specifications in English and supplier language are prepared to ensure clarity and a sufficient level of detail with regard to technical requirements, standards and definitions throughout the supply chain.

Additionally, workflow plans and workstation assembly/production instructions are issued in collaboration with our workshop engineers. All documentation is maintained by our Quality department in English and supplier language in accordance with our ISO9001:2015-certified quality management system.

Project engineers and workshop engineers collaborate on selection of assembly/production methods and preparation of workflow and workstation instructions. Workshop purchasing department handles procurement of tooling and standard components. Internal workshop quotation is submitted to project engineer and sales engineer.

Quotations are provided with part specifications and include unit and tooling prices, based on documentation, batch size, stock arrangements, and estimated annual usage. Prices are quoted DDP in customer’s local currency or otherwise as per customer requirements. All business transactions are conducted between the customer and SinoScan Inc. Standard payment terms are 8 days after delivery.

No prepayment or L/C is required.

50 percent of tooling costs are paid at commencement of sample production and the remainder at sample approval.

Tooling is the sole property of the customer.

Unit Prices are adjusted when the combined change of material index price and currency rate is in excess of 5 percent of said unit price.

Local/off-shore Warehousing and/or vendor managed inventory (VMI) services provided as needed.

During component tooling and sample production SinoScan’s sales engineers and manufacturing engineers work closely with the supplier, to ensure full compliance with technical requirements and quality standards.

Although SinoScan assumes full responsibility for production and maintenance of tooling, it remains the sole property of the customer. All samples are manufactured using final production tools to ensure consistency between samples and actual production batches.

Component samples are submitted to SinoScan’s sales engineer, manufacturing project engineering team and workshop engineers. Samples are labeled, stored and entered into our ISO9001:2015-certified quality management system (QMS) together with all relevant test reports and certificates. If several iterations of sample production are necessary, all sample versions and related documentation are likewise labeled, stored and recorded in our QMS.

During the sample production stage, an original test report (OTR) is drafted by SinoScan’s engineers for each specific component. Component OTR specifies all dimensions, tolerances, surface requirements, functional requirements and other requirements that are to be measured and/or tested and documented.

Internal test reports based on the OTR are provided with all deliveries to SinoScan’s assembly/production workshop throughout the product life cycle. Additionally, for components as well as finished products, SinoScan provides its current customers with a wide range of in-house, supplier and 3rd party certificates related to material composition, specific industries, function and properties, and various regional directives.

Samples and all relevant documentation are delivered to sales engineer, project engineer and workshop engineer for approval and commencement of product sample assembly/production. Where it is deemed necessary, SinoScan’s sales engineer collaborates with customer on component sample approval before commencement of product sample assembly/production.

During product tooling and sample production SinoScan’s sales and manufacturing product engineers work closely with the workshop engineers and relevant suppliers, to ensure full compliance with technical requirements and quality standards. If several iterations of product sample production are necessary, all sample versions and related documentation are likewise labeled, stored and recorded in our QMS.

During the product sample assembly/production stage, an original test report (OTR) is drafted by SinoScan’s project and workshop engineers. Product OTR specifies all dimensions, tolerances, surface requirements, functional requirements and other requirements that are to be measured and/or tested and documented.

Full test reports based on the OTR are provided with all deliveries to the customer throughout the product life cycle. Additionally, for components as well as finished products, SinoScan provides its current customers with a wide range of in-house, supplier and 3rd party certificates related to material composition, specific industries, function and properties, and various regional directives.

Product samples and all relevant documentation are delivered to customer for approval. After customer approval of drawings, part specifications, samples, test reports and material certificates, test order production is commenced.

The test order production stage exists in order to evaluate the efficiency and stability of the production line at component suppliers as well as at our own assembly and production facility – and to ensure that quality performance is maintained in the transition to regular production.

Sales engineer, project engineer and workshop engineer evaluate the final product assembly/production workflow and make adjustments as needed. Where necessary, workflow procedures and instructions for component suppliers are formulated as well. All procedures and instructions are stored in our ISO9001:2015-certified quality management system (QMS).

Workflow procedures and instructions for both components and the final product are implemented at production floor workstations, so that they are readily available and easy to understand for production staff.

Packaging instructions are issued for the final product and for all components. All products are packaged and labeled according to customer requirements. As per customer requirements, SinoScan’s engineers provide packaging design services.

Dedicated measuring tools are procured, entered into and maintained in our ISO9001:2015-certified quality management system (QMS).

Test order production batch is delivered with test report based on the original test report (OTR – see “test report” tab under “Product Tooling and Sample Assembly/Production”-header) and all agreed upon certificates. Additional testing of critical requirements, dimensions and tolerances is performed on entire test order production batch.

Test order production batch is delivered to customer with test report, material certificates and other relevant documents for approval. After customer approval of test order production batch, regular order production is commenced.

All production batches are checked and documented according to the original test report (OTR – see “test report” tab under “Product tooling and Sample Production”-header).

Testing is done at SinoScan’s suppliers or at our own testing facility before shipment. Production batches are delivered to the customer complete with test report and other agreed-upon certificates. All Test reports and related certificates are stored in SinoScan’s ISO9001:2015-certified quality management system.

SinoScan arrange the required approvals for export and the most appropriate transportation method, whether by land, sea or air freight. SinoScan have long-standing cooperative relationships with both our logistics and customs handling partners, ensuring stability and timeliness of deliveries.

SinoScan offers warehousing in North America, Europe and Asia, and vendor-managed customer inventory (VMI) solutions as required. This enables us to serve a wide range of customers for whom lead time constraints are a critical part of supply chain-related considerations. Raw material and component stock agreements are implemented, as required, at our suppliers in order to optimize production lead time.

On-going development is an integral part of our business model and quality management system (QMS) – both at our suppliers, our assembly and production workshop and in our engineering offices.

Many of our suppliers have grown both revenue and capabilities under the scrutiny, support and encouragement of SinoScan. The daily contact between SinoScan’s engineering teams in North America, Europe and Asia and our suppliers forms an important part of this work. Suppliers are audited annually according to our ISO9001:2008-certified QMS. When needed, SinoScan supports suppliers with knowledge, staff and financial resources for required capital investments. Our own qualiy management system (QMS) is ISO9001:2015-audited by Lloyd’s annually.

Additionally, internal production methods and workflows are reviewed regularly to ensure optimal cost and quality performance.
